Slide after slide of size 10 font, multiple indistinguishable\u00a0charts\u00a0and a sleep-inducing delivery. Thirty minutes of your life\u00a0you\u2019ll\u00a0never get back.<\/p>\n<p>It might sound extreme, but in\u00a0reality\u00a0it\u2019s\u00a0not as rare as it should be. And without the right preparation,\u00a0it\u2019s\u00a0something all of us can be guilty of delivering.<\/p>\n<p>Whether online or face to face, presentations are an opportunity for leaders to motivate and inspire their teams. A chance to set direction, highlight potential risks, or simply connect as human beings around a common goal. Done well, they can be a catalyst for engagement,\u00a0productivity\u00a0and growth. Done poorly, they can easily confuse,\u00a0demotivate\u00a0and derail.<\/p>\n<p>I started my career as a professional actor. Back then, my job was to take an audience on a journey. To leave them feeling transformed by the words I spoke. Now, when I work with senior leaders, coaching them on their communication skills, I set them the same challenge to transform their audience.<\/p>\n<p>We need to remember that you update software, not people. When you have a chance to speak to your team, you must do more than just deliver information.<\/p>\n<p>Most presentations fail because they focus on the detail, not the outcome. We obsess about what\u00a0we\u2019re\u00a0going to say rather than asking ourselves why\u00a0we\u2019re\u00a0saying it in the first place. A great presentation is the transfer of energy from one human being to another. The data is important, but it\u00a0shouldn\u2019t\u00a0be your starting point.<\/p>\n<p>Too many leaders jump straight into creating\u00a0slides, or\u00a0delegate the scripting to a junior member of the team.\u00a0It\u2019s\u00a0a guaranteed way to bore your audience and kill your message.<\/p>\n<p>Instead, if you want to truly engage, you need to get clear on your intention. You need to work out why\u00a0you\u2019re\u00a0delivering the presentation before you put pen to paper. To do that, there are four simple questions I suggest you ask:<\/p>\n<ol>\n<li>What do I want my audience to know?<\/li>\n<li>What do I want my audience to feel?<\/li>\n<li>What do I want my audience to do?<\/li>\n<li>Why now?<\/li>\n<\/ol>\n<p>Let\u2019s\u00a0look at each of them in turn.<\/p>\n<p><strong>What do I want my audience to know?\u00a0<\/strong><\/p>\n<p>Human beings have a finite ability to process and\u00a0retain\u00a0information. You\u00a0don\u2019t\u00a0want to overwhelm your audience. While it can be tempting to tell them everything, your job is to strip your message back to the essentials. Ask yourself: what do these people need to know at this\u00a0particular moment\u00a0to help them take the next step?\u00a0It\u2019s\u00a0far better to have people leaning in and asking questions than zoning out, swamped by detail.<\/p>\n<p>A good rule of thumb is to decide on three key messages you want your audience to take away. You can\u00a0probably stretch\u00a0this to four, but if\u00a0you\u2019re\u00a0trying to share five or six\u00a0big ideas\u00a0in a single sitting,\u00a0you\u2019re\u00a0on track to lose people. Think of these key messages as buckets: they can hold lots of supporting information, but everything inside each bucket must connect back to the same central idea.<\/p>\n<p><strong>What do I want my audience to feel?\u00a0<\/strong><\/p>\n<p>Most leaders and managers\u00a0don\u2019t\u00a0give the emotional intention of their presentations a second thought, but this is where the magic happens. Of course,\u00a0you\u2019ll\u00a0be sharing information, but\u00a0it\u2019s\u00a0how people feel about that information that really matters. What is the emotional journey you want to take them on? How might they be feeling when they sit down in the meeting room or join the virtual call? And how do you want them to feel when they leave?<\/p>\n<p>Work with active verbs. It\u00a0doesn\u2019t\u00a0matter how you feel as the presenter; what matters is how you make the people listening feel. Are you trying to excite them? Challenge them? Reassure them? There are thousands of options to choose from. The\u00a0great thing\u00a0about this approach is that it not only changes how you speak, but it also changes what you say. If you\u00a0truly commit\u00a0to motivating your audience, for example, it will sound\u00a0very different\u00a0to trying to scare them!<\/p>\n<p>I\u2019d\u00a0recommend shifting your emotional intention every five to seven\u00a0minutes\u00a0so the energy\u00a0doesn\u2019t\u00a0become monotone, but at the very least, be\u00a0crystal clear\u00a0on the final feeling you want to leave people with.\u00a0That\u2019s\u00a0what\u00a0they\u2019ll\u00a0remember most.<\/p>\n<p><strong>What do I want my audience to do?\u00a0<\/strong><\/p>\n<p>Too many meetings end with no clear action points. Your job as a leader is to ensure that those listening to your presentation know exactly what you want them to do next. In the distracted world we live in, there\u2019s little room for subtlety. When you finish speaking, if people\u00a0don\u2019t\u00a0know what your \u2018ask\u2019 is straight away, their to-do list, inbox or next meeting will quickly hijack their\u00a0attention\u00a0and your presentation will be a distant memory.<\/p>\n<p>Be clear on your call to action and repeat it throughout. Then make sure\u00a0it\u2019s\u00a0the thing\u00a0that\u2019s\u00a0still ringing in people\u2019s ears when you wrap things up.<\/p>\n<p>It\u2019s\u00a0also important that what\u00a0you\u2019re\u00a0asking people to do is achievable.\u00a0By all means paint\u00a0a picture of future success, but if you want people to act on your words, give them a logical next step.\u00a0What\u2019s\u00a0a small action they can take\u00a0immediately\u00a0that builds momentum?\u00a0This drives\u00a0progress rather than overwhelm. Be as specific as possible and tailor your ask to the audience in front of you.<\/p>\n<p><strong>Why now?\u00a0<\/strong><\/p>\n<p>The final question to consider as you plan your presentation is an important one. If people\u00a0don\u2019t\u00a0feel a sense of urgency, they are unlikely to act. Whether your audience is motivated towards finding a solution or away from the pain of the current situation, you need to make it clear why now is the time to do something.<\/p>\n<p>Action happens at the intersection of logic,\u00a0emotion\u00a0and timing. If\u00a0you\u2019re\u00a0going to persuade your audience to take the next step, they must understand your argument, feel emotionally connected to it, and sense that this is the right moment to act.<\/p>\n<p>As leaders and managers, your job\u00a0is to help people focus on what matters most. You\u00a0can\u2019t\u00a0force anyone to care, but if you can create a compelling case for why the time is right, you massively increase the likelihood of getting them on board.<\/p>\n<p>These four questions will change the way you present and the way your audience engages with you. If\u00a0you\u2019re\u00a0delivering a formal presentation and have time to plan and rehearse, build it around this framework. Equally, if you only have a few moments before you need to speak, grab a piece of paper and jot down your answers to organise\u00a0your\u00a0thinking.<\/p>\n<p>No one walks into a meeting, town hall,\u00a0pitch\u00a0or presentation thinking,\u00a0\u201cI hope the next half hour is a complete waste of my time.\u201d\u00a0Your audience wants you to succeed. They want to learn something and find value in what you say. Show them the respect they deserve by taking the time to get clear on what you want them to know,\u00a0feel\u00a0and do, and why now.
